Getting Started

First-time setup

When you first sign in, the Getting Started tour launches automatically and stays visible until all three phases are complete.

The three phases

  • Basic Required β€” business info, staff, services, hours. You cannot take bookings until this is done.
  • Client Experience β€” booking link, Glide-Inβ„’ template, review requests, satisfaction follow-ups.
  • Revenue Growth β€” promotions, packages, gift cards, drip sequences, CRM lists.

Use ⏸ Pause / β–Ά Resume at any time β€” narration stops but you can still step through manually. If you leave and come back, the guide reopens on the exact step you left off, and the Salon Hub switches to the matching screen automatically. If the screen ever drifts out of sync, tap 'Fix screen'.

When all phases are done, the interactive Help button in the bottom-right is your ongoing guide.

The Salon Hub (your dashboard)

The Salon Hub at /salon is organized into 5 Workspaces so you spend less time hunting for features:

  • Today β€” appointments, walk-ins, no-show flags, tips of the day.
  • Clients β€” the CRM, contacts, deals, tasks, timelines.
  • Marketing β€” promotions, packages, gift cards, drip sequences, reviews.
  • Money β€” POS, payments, payroll, commissions, subscriptions.
  • Setup β€” services, staff, hours, integrations, branding.

Press ⌘K (or Ctrl-K) anywhere to open the Universal Command Palette and jump to any screen or action.

Booking

Voice-first online booking

Your public booking page lives at clientpulse.ltd/book/{your-slug}. When a client opens it, our AI receptionist Ella greets them and books the appointment by voice.

How the flow works

  • Ella asks for name, mobile, and service in one prompt.
  • The client speaks their answer, then taps the pulsing Done button.
  • Ella confirms with full weekday and month names (e.g. 'Wednesday, March 14').
  • Clients can tap any field to edit β€” they go straight back to review, not to the beginning.
  • First-Available AI matches the client with the best stylist based on skills and history.

A visitor-facing demo lives at /try-booking so prospects can experience it without booking a real slot.

Sharing your booking link

The /share-booking-link walkthrough gives you copy-paste text messages, email templates, Instagram bio snippets, and a downloadable QR code β€” all pre-filled with your booking URL.

Print the QR code and tape it to the mirror at each station. Clients scan and rebook before they leave.

Glide-Inβ„’ check-in

Two hours before every appointment, the client receives a text with a personal Glide-Inβ„’ link. Tapping it checks them in, notifies their stylist, and skips the front-desk line.

The link is token-based (one-time, expires after the visit) and works on any phone with no app install.

You'll see the check-in appear live on the Today workspace of the Salon Hub.

New-client video consultation (Option 1 / Option 2)

The booking page looks up the mobile number as soon as it's entered. A known number gets "Welcome back, Sarah" and goes straight into normal booking. A brand-new number follows whichever path you chose in Salon Setup β†’ Today β†’ β€œHow do you want to handle new clients?”

Option 1 β€” Video consultation first

  • The client is told "Our stylist will call you for your initial consultation" and picks a day and time.
  • We auto-create a private Whereby video room for that slot.
  • The client gets a text with the join link; your designated stylist gets a text with the client's name, number and what they want.
  • Both sides are reminded 15 minutes before.
  • The stylist joins from their own screen with the booking calendar right beside the video, so the real appointment gets booked while still on the call.

Option 2 β€” Client chooses time and stylist

  • Standard self-service online booking, unchanged.

You also choose who makes the calls (defaults to you, the owner, until staff are added) and the consultation length (10–45 minutes). A free Whereby account is required for the video rooms.

Phone lookup, formatting & spoken dates

  • Mobile numbers format live as (555) 123-4567 on the booking page and the signup form.
  • Confirmations are spoken with full weekday and month names β€” 'Wednesday, March 14', never 'Wed'.
  • Tap any confirmed field to re-record just that answer; you return straight to review.
  • Head Spa is available as a bookable service and a stylist capability.
Staff

Daily to-do lists for each stylist

Every stylist gets a private daily to-do list, texted to them at 6 AM with a personal link (/todo/{token}) β€” no login, no app.

  • The list is built from their day: appointments, follow-ups, and any tasks you assign.
  • Stylists can add their own items and tick things off from their phone.
  • Owners see the same lists inside the Salon Hub.

Google Calendar sync

Connect Google Calendar in Setup and appointments booked in ClientPulse appear on your calendar automatically.

Sync runs both ways with de-duplication, so an event already on Google won't be double-booked in ClientPulse.

CRM

The client record & Tasks button

Click any client β€” in the Salon Hub, the client list, or the CRM β€” to open the full record in a pop-up.

  • Text, call, or email the client directly from the action bar (your saved email signature is applied automatically).
  • The βœ… Tasks button opens CRM tasks for that specific client β€” create, assign, prioritize and complete.
  • The record shows the NEXT task date and detail at a glance, with priority and status badges.
  • Full unified timeline: bookings, sales, emails, SMS, notes and documents.

Extended contact fields

Contacts now carry Title, LinkedIn URL, Facebook URL, Website, number of employees, and a full mailing address (Street 1, Street 2, City, State, ZIP).

All of these are available in the CSV importer's column mapper, and duplicate rows are merged by email and phone across your entire client list β€” not just the first 1,000 records.

Email signature

Set your sending signature once in Salon Setup β†’ profile. It's appended to every email you send from a client record, the CRM, or a sequence.

The CRM at /crm is modeled after HubSpot but tuned for salons. Every booking, sale, email, and SMS is automatically stitched into a unified client timeline.

  • Dashboard β€” pipeline value, tasks due, hot leads.
  • Contacts β€” searchable, filterable, with full timeline per person.
  • Deals β€” Kanban pipeline (e.g. new lead β†’ consult β†’ membership signed).
  • Tasks β€” an inbox of follow-ups assigned to you or staff.
  • Lists β€” static and smart segments for targeting.
  • Sequences β€” automated drip nurture (see below).

Importing leads (CSV)

Go to /crm/import and drop in any CSV. We auto-detect headers and suggest column mappings (name, email, phone, notes, lifecycle stage).

Deduplication is automatic by email and phone β€” you can safely re-import the same file after adding new rows.

Optionally assign every imported contact to a new or existing list in one click.

Drip sequences

Sequences at /crm/sequences let you build multi-step campaigns (email, SMS, or task) and enroll any list or individual contact.

Typical uses

  • 5-touch new-client welcome (day 0 email, day 3 SMS, day 7 task to call).
  • Win-back for clients who haven't visited in 60 days.
  • Membership upsell after 3rd visit.
  • Birthday & anniversary sequences (also handled automatically by MyFamilyPulse).

A cron job runs every 5 minutes to process pending steps.

Meeting scheduler

Define meeting types at /crm/meetings (e.g. '15-min consult', '30-min color consult').

Each type gets a public URL β€” /book/{your-slug}/{type-slug} β€” you can share with prospects. Confirmation emails and Whereby video links are handled automatically.

Promotions & packages

The Promotions engine at /beauty/promotions ships with a curated library of proven salon offers by occasion (birthday, anniversary, back-to-school, holiday) and by service (after color, after cut, after facial).

Pick a template, adjust price and dates, and target a list β€” the CRM handles delivery and tracks redemptions.

Gift cards & surprise cards

Digital gift cards can be sold from your booking page or Salon Hub. Surprise cards let a stylist send a small credit ('$10 to try our new brow tint') to bring a specific client back.

Redemptions are tracked in the CRM timeline and roll into monthly revenue reports.

Reviews & satisfaction follow-ups

Two hours after an appointment ends, an AI-generated SMS asks the client how it went. Happy replies are routed to Google/Yelp review prompts; unhappy replies are flagged for the owner immediately.

Reply sentiment is analyzed by Gemini so you catch issues before they hit public review sites.

MyFamilyPulse (client gift)

MyFamilyPulse is the family reminder platform you can gift to clients. It sends warm, personalized birthday and anniversary emails to their loved ones β€” the client's brand stays top-of-mind every time Grandma opens hers.

Email deliverability

For best inbox placement, connect your own sending domain in Setup β†’ Email. We handle SPF, DKIM, and DMARC records; you paste them into your DNS.

Until your domain is connected, we send from our shared domain, which is fine for testing but may hit promotions folders for cold outreach.

Install as an app (PWA)

ClientPulse works as a Progressive Web App β€” no App Store install required.

  • iPhone: open clientpulse.ltd in Safari, tap Share, then 'Add to Home Screen'.
  • Android: open in Chrome, tap the menu, then 'Install app'.
  • Desktop: click the install icon in the address bar.

The installed app runs full-screen with your salon icon on the home screen.

Troubleshooting

Common issues

  • Booking link opens the wrong page β€” make sure you're sharing /book/{slug}, not /booking (which is the marketing page).
  • SMS reminder link says 'Forbidden' β€” this was a preview-only bug, fixed. All outbound links now use clientpulse.ltd.
  • Voice booking is slow β€” the client should tap the pulsing purple Done button; auto-stop is disabled so it stays visible.
  • Client can't check in with Glide-In β€” links expire after the visit; ask them to re-book if the appointment already passed.

Activity & History β€” one place per client

Every client record has a single πŸ—‚ Activity & History timeline. Anything anyone on your team does with that client lands there automatically.

  • Emails sent from the client record, the CRM, or a sequence β€” subject and full body saved.
  • Text messages and call logs, including who on staff made contact.
  • Video meetings β€” the recording is never stored, but the AI transcript recap is filed to the timeline.
  • Bookings, no-shows, check-ins, sales, promotions redeemed and notes.

It works account-wide: it does not matter which stylist or consultant did the work, it all files under the client.

Staff & consultant records

On the team / bench page, each person has a πŸ—‚ Record button. It opens the same action bar (βœ‰οΈ Email, πŸ’¬ Text, πŸ“ž Call, πŸŽ₯ Video meeting, πŸ“ Add note) plus their own Activity & History timeline.

Use it for coaching notes, schedule conversations, and one-to-one meeting recaps so nothing lives in your head or your texts.

Waitlist Autopilot

When a cancellation opens a slot, Autopilot texts the waitlist for you instead of you calling down a list.

How to use it well

  • Add clients to the waitlist with the service they want and the days/times that work for them.
  • When a slot frees up, the best-matching clients are texted a claim link in waves, not all at once.
  • The first person to tap the link at /claim/{token} gets the slot; the link then dies for everyone else.
  • Keep mobile numbers accurate and let staff cancel in the app (not verbally) so Autopilot fires.

You will see who was offered, who claimed, and what the recovered revenue was.

Booking

Abandoned booking follow-up

If someone starts a booking and does not finish, we capture what they entered and log it as an abandoned booking.

Follow up with one tap β€” text or call them from the record. Most abandoned bookings close with a single friendly message.

Staff

Team schedules & clearing a whole day

Set each provider's working days and hours in Setup β†’ Team schedules.

Added a day by mistake (for example Sundays for the whole team)? Use Clear a whole day β€” it removes that weekday from every provider at once and stops it appearing on the booking page.

Inventory, invoices & stock

Every completed service or retail sale generates an invoice and deducts the products used from stock β€” whether you ring it up with ClientPulse Pay, Lightspeed, or your own outside POS.

Low-stock items are flagged so you reorder before you run out mid-appointment, and Purchase Orders can be auto-suggested from everything at or below its threshold. The Alerts & Costs tab adds expiration tracking, vendor rollups and true cost per service.

When Lightspeed manages your stock, ClientPulse skips retail deduction so the two never fight β€” back-bar usage is still tracked.

Back-Bar Usage β€” auto-deduct product per service

Salon Hub β†’ Money β†’ 🧴 Back-Bar Usage is where you tell ClientPulse what each treatment actually consumes, so professional-use product stops disappearing without a trace.

Service recipes

  • Tap + New Recipe, type or pick the service name (it must match the service name used on the booking), then add each product and quantity.
  • Quantities can be fractional β€” 0.5 of a tube, 1.5 of a developer.
  • Leave a recipe Active to auto-deduct, or untick Active to pause it without deleting it.
  • Deduct now runs a recipe immediately β€” handy for a one-off, a class, or a correction.

Automatic deduction

  • When a visit is marked complete on the Glide-In board, the matching recipe fires once.
  • Stock is reduced, an inventory movement audit row is written, and the usage is filed under the client, stylist, and service.
  • A visit can only deduct once β€” re-opening and re-completing it will not double-count.

Usage Log

  • The Usage Log tab shows recent back-bar consumption by date, product, service, and stylist.
  • Use it to spot the service that eats far more product than it should, or the stylist who needs a refresher on measuring.

Retail sold on an invoice keeps deducting separately, so back-bar (professional use) and retail sales never get mixed up in your numbers.

Alerts & Costs β€” low stock, expiry, vendors, cost per service

Alerts & Costs is a Gold and Platinum feature β€” it is unlocked for everyone during the 14-day free trial. Products, categories, suppliers and the inventory log stay available on every plan.

Salon Hub β†’ Inventory β†’ Alerts & Costs is the one screen that protects your product margin. It refreshes from live stock, purchase history and the last 90 days of back-bar usage.

Low-stock alerts

  • Set a reorder threshold on each product in the product editor.
  • Anything at or below its threshold appears here with the shortfall and its supplier.
  • Turn the list into a purchase order in Purchase Orders β†’ auto-suggest.

Expiration tracking

  • Each product now has an expiration date, a lot number, and a warn-days window.
  • Items inside that window show as expiring; anything past the date shows as expired.
  • Best for developer, lash adhesive, treatments and anything with a shelf life.

Vendor tracking

  • Spend, stock value and item count rolled up per supplier.
  • Use it before a rep visit to see exactly what that vendor is worth to you.

Cost-per-service tracking

  • Combines each service recipe with 90 days of real usage to show true product cost per treatment.
  • Compare that against your menu price to find services that are quietly losing money.

Client photos β€” before/after, compare, annotate

Open a client in Salon Hub β†’ Photos. Four tabs cover the whole workflow:

  • Before & After β€” upload and tag each photo as before, after, or other, with a note.
  • Side-by-side β€” pick two photos and compare them next to each other for the consult or the social post.
  • Secure Storage β€” private storage with consent status and signed date on every image.
  • Annotations β€” click anywhere on a photo to drop a numbered treatment marker and describe what was done there.

There is also a πŸ“Έ Photos tab on the client page itself β€” it lists every photo linked to the client you have open, newest first. Tap any image to enlarge it.

Photos live on the client record alongside color formulas, so you can repeat the exact result β€” and the exact product amounts β€” on the next visit.

Starting & stopping the Setup Guide

The Getting Started guide auto-launches for new accounts until all three phases are complete.

  • β–  Stop Setup halts it permanently β€” it will not auto-open again, even after a reload or on a new device sign-in.
  • β–Ά Start Setup (bottom-right) and the Setup button in the Salon Hub relaunch it any time β€” handy when you hire someone new.
  • It never runs on admin or consultant screens, and never on advisory (consulting) accounts.
